Board Meeting Minutes

Call to Order – A special board meeting was called to order by President Steve at 12:10 pm.

Attendance – A quorum was declared with the following officers and directors in attendance: Pat Danielson, Joe Kennish, Steve Pickett, Kirsten Danielson-Stoffer, John Warren, KL Wombacher, Christine Cote, Mel Light, Dan Marples, Stan Pratt, Cami Leonard and Ron Zirkle. Active member in attendance was John Benson, Russ Ackley, Lynn Buchanan and Mike Wilson.

Minutes – The minutes of the previous meeting were not available and will be presented at the next Board meeting.

Greenway Events – Brian Blount had sent a request to President Steve that all Yakima Greenway Events that have participation by Yakima Kiwanis members be official sanctioned service events. Thus all donated hours can be used for service hours for the club. Kirsten Danielson-Stoffer moved and John Warren seconded that the above be approved. The motion carried unanimously.

Kiwanis Grills – President Steve had been requested by Apple Valley Kiwanis to ask the Board again if they could use our propane grills. After much discussion, John Warren moved and Joe Kennish seconded that we approve the loaning of the propane grills to other Kiwanis Clubs subject to the acceptable insurance approval, that a Kiwanis Club of Yakima member be available to be with the grills and that the grills be returned in the same condition as when they were loaned including a full tank of propane. The motion carried with one nay by Kirsten.

Secretary-Treasurer Position – President Steve introduced the subject of the Secretary – Treasurer position that has been a topic brought to the Board by the Budget Committee. Pat Danielson then read the attached letter from the Past President’s Committee.

Pat then moved and Mel Light seconded that we separate the previously combined Secretary/Treasurer position into separate Secretary and Treasurer positions effective for the 2005-2007 Kiwanis year that begins on October 1, 2006 and that remuneration for the separate positions of Secretary and Treasurer will be credit for the Yakima Kiwanis Club dues, including meals, District Dues and International Dues. After much discussion, the motion was unanimously approved.

The proposed volunteers for the new positions will meet with Louise Tabayoyan regarding computer programs that will need to be purchased. It was also emphasized that Louise’s past efforts have been very much appreciated and that this decision is a budgetary consideration.

Adjournment – With no other business at hand, the meeting was adjourned at 12:50 pm

Dear Yakima Kiwanis Officers & Directors, April 19, 2006

One of the biggest problems facing us as we deal with changing our historically paid Secretary-Treasurer position is a fear of the unknown. Our club’s President has always enjoyed the privilege of working with great long term holders of this office. Farwell Darby, Johnny Miller, Don Davidson, Velma and Louise have spanned the past 40+ years of exceptional and dedicated service to our club.

We recommend the following changes, knowing that we are essentially denying our future Presidents a comfort zone that we had been fortunate enough to enjoy. However, that paid position has become a luxury that our budget can no longer afford to provide this club as an expected service.

1. Separate the previously combined Secretary/Treasurer position in separate entities effective for the 2006-2007 Kiwanis year that begins on October 1, 2006.
Jay Carroll is willing to become the club Secretary and Mike Wilson is willing to continue as the Asst. Secretary.
John Benson is willing to become the club Treasurer and Dan Marples is willing to become the Asst. Treasurer.
For training, the Yakima President-designate (1stVP) will become backup to the Asst. Secretary and the President-elect (2ndVP) will be backup to the Asst. Treasurer.

2. Remuneration for the separate positions of Secretary and Treasurer will be limited to having the dues (Club w/meals, District & International) paid directly to Kiwanis.
This would approximate $1,200 vs. $9,000 resulting in a future savings of about $7,200 per year. The learning curve was noted by Louise and is lessened by the prior Kiwanis knowledge of the above individuals. However, it will require additional training at Division CLE, Zone conference and District conventions, but not presently budgeted.

3. Jay Carroll becoming Secretary; will result in a vacancy on the Yakima Kiwanis Charitable Trust, in that he is already a member. Dan Marples was our most recent consideration for an open Trust position and he has agreed to be nominated by our club board to fill that vacancy on the Trust starting in October.

Although life has no guarantees, the above individuals have the intent or interest to serve in these capacities beyond just a 1year term, if so desired by the club. Thus repeated training costs and learning curves will be minimized into the future.

It continues to be an honor to serve this community as members of the Kiwanis Club of Yakima and we understand that the financial decisions for the board in running this club are not always easy.
